Fee Courtesy Frequently Asked Questions

Eligibility

Have the eligibility criteria for Fee Courtesy changed?

The eligibility requirements for Fee Courtesy have not changed. Eligible individuals include full-time appointed employees, former employees with Retiree status, spouses, registered domestic partners and dependent children.

What if I have questions about whether I am eligible or how to enroll in Fee Courtesy?

Your campus Human Resources office will be able to determine if you are eligible and advise you how to enroll in the benefit.

What if both parents are full-time faculty or staff? Can/will Fee Courtesy be received under both parents?

An eligible dependent child can receive the benefit from only one of the eligible parents.

 

Dates

When does the new benefit reconfiguration become effective?

It applies to Fall 2004 tuition and ends at the end of summer 2006.

When do I apply for Fee Courtesy?

Employees are encouraged to submit the enrollment form well before the beginning of the academic year each fall. If the enrollment form is processed after the student is billed for tuition, the Fee Courtesy award becomes a reimbursement after the student has paid all tuition.

 

Rates and benefit limits

What are the dollar limits for spouse and employee Fee Courtesy benefits?

The rates may be found on the benefits amounts page.

Will the employee and spouse benefit limits be based on the tuition at the campus where the student is enrolled or the campus where the employee works?

The benefit is based on the campus where the student is enrolled.

Will the benefit be based on the recipient's standing (graduate or undergraduate) or on whether the class is a graduate class or undergraduate class?

The benefit is based on the recipient's standing. For example, if an undergraduate student takes a graduate class he or she will be charged the undergraduate rate and tuition will be covered up to the undergraduate Fee Courtesy limit.  

If a graduate student takes an undergraduate class he or she will be charged graduate tuition and receive up to the maximum amount for graduate Fee Courtesy.

What will my benefit be for the graduate or professional programs?

All recipients will receive either the same benefit or a slightly higher benefit depending upon if they are enrolled in a graduate program or professional program. Please contact University Human Resource Services at (812) 855-2007 for more information.

 

Form

Where do I find the Fee Courtesy form and where do I submit it?

Enrollment forms can be found at your campus Human Resources office or at the Fee Courtesy Form web page and are to be submitted by the employee at the campus on which the student attends classes.

Who do I contact to find out the status of my enrollment form?

To check on the status of your enrollment form you should contact the office where the form was submitted (i.e., the campus where the student is enrolled in classes).

What if I have already submitted a Fee Courtesy form for the academic year?

If you have already submitted a Fee Courtesy form to the campus of enrollment, you will not be required to re-enroll for that academic year. You will need to submit a new form if you are enrolling for the Summer Sessions.

 

Charges and billing

Who do I contact to find out why my Fee Courtesy did not get applied to my bursar bill?

If your fee courtesy does not get applied to your bursar bill you should contact the Human Resources office on the campus of enrollment to verify the status of your enrollment form. If your enrollment form has been processed you should then contact the Office of the Bursar on the campus of enrollment to discuss your bill.

Will the Fee Courtesy benefit apply to the same charges on my bursar bill?

Fee courtesy applies only to tuition charges. It does not apply to special fees such as those for laboratories, applied music, student teaching, education early experience, dissertation research (G901), or rental of special equipment or facilities. Activity, health, technology and transportation fees are also not covered by fee courtesy.

What if I need help understanding the charges on my tuition bill, or believe that the charges on my Bursar bill are not correct?

Contact the Bursar's office at the campus where you are enrolled.

 

Audit hours, independent study, etc.

Does the benefit apply to audit hours?

Tuition for audit hours is covered by the Fee Courtesy benefit for employees, former employees with retiree status, spouses or registered domestic partners.

Does the Fee Courtesy benefit apply to independent study courses?

Independent study is covered by the Fee Courtesy benefit; however, it will be processed as a reimbursement after the course has been completed. Please contact University Human Resource Services at (812) 855-2007 for more information.

Does the Fee Courtesy benefit apply to the MBA online courses?

MBA online courses are covered by the Fee Courtesy benefit for employees, former employees with retiree status, spouses or registered domestic partners.

 

Other

Will my dependent child see a change in benefits?  

The benefit remains the same for dependent children.

Are graduate courses subject to tax if the recipient's standing is undergraduate?

Fee Courtesy for graduate level courses is treated as taxable income under 1996 Federal legislation.   If an undergraduate student enrolls in a graduate course and receives fee courtesy for that course it will be considered taxable.   In accordance with IRS regulations, these taxes will be withheld from the employee's pay.

If a graduate student enrolls in an undergraduate course the fee courtesy received for that course will not be considered taxable.

What if I have a question about my financial aid application (FAFSA)?

Contact your campus Office of Financial Aid.

What if I have questions regarding Fee Courtesy and how it impacts my grants, scholarships, etc.?

Contact your campus Office of Financial Aid.

What if I have questions about the Fee Courtesy policy or whether I qualify for a manual adjustment during the two-year transition period?
